The success of the office party resides in organization so keep on hand the following checklist and ensure that you follow it step by step:
- Three months ahead: Decide the location depending on the budget set, how many people will be invited and the venues. Decide if the party will be held for workers, clients or for both. Order favors and decorations and hire the caterer to provide food and drink. A buffet table with a variety of canapés is always your best option and breaks the ice and formalities during the party.
- One month prior to the event send out invitations asking for RSVP as you need to know in advance how many people to cater for and don't forget to notify people if the party is themed and fulfill a requirement is necessary.
Try to investigate if there are vegetarians among your guests and inform the venue or caterer of this situation. Ensure that all the payments have been made and get written confirmation of all the suppliers' bookings and arrangements. Order transportation if it will be required.
Remember there is tacit business etiquette the same if you are considering inviting your clients as part of a business strategy to close a deal. Talk to the staff before the event regarding appropriateness of conversations, humor and alcohol consumption during the event and set the necessary cautions if you are in position to lead or dispose how the party will be held.
- Two weeks beforehand send reminders announcing the approaching of the office party and call the venues and suppliers to get the final confirmation. This is the moment to plan games or any other amusements.
- The week before the event confirm by phone the attendance of the guests and ask the staff for feedback or their feel about the party for any last minute addition or amendments.
On the party office day enjoy yourself, reconnect with familiar faces or meet new contacts and friends, praise those have helped you or those who have been supportive and encouraging in your professional activities but never ever get drunk at party offices or you will regret it!
